Who we are
This Privacy Policy sets out how Business AI Group Pty Ltd, ABN 67 688 176 105, trading as BusinessAI ("BusinessAI", "we", "us" or "our"), collects, stores, uses and shares your personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
BusinessAI is a portfolio company of Sansoni Management Pty Ltd, ACN 661 451 136. This policy applies to personal information collected by BusinessAI. Where information is shared with the wider Sansoni Group, that sharing is described under "Sharing your information" below.
What is personal information
Personal information is information that can identify you as an individual. This policy explains how your personal information is treated when you visit our websites, attend our events, or engage our services.
What we collect
The personal information we may collect from you includes:
- Name, email address, phone number and address
- Business name, ABN, role, business size and trading status
- Preferences, service usage history and survey responses
- Communication records, including emails, call notes and recordings of calls, workshops and events
- Payment information, processed by our payment provider. We do not see or store full card numbers
- Website usage data collected through cookies and analytics
- Sensitive information, only where you have expressly consented or where we are required by law to collect it
Information about your business operations, including process detail, systems, cost data and documents shared with us during a consulting, community or build engagement, is governed by the agreement covering that engagement rather than by this policy.
How we collect your information
We collect your personal information:
- Directly from you, when you engage with our services, programs, events, community or websites, or when you contact us
- From third parties, including referral partners, event co-hosts and verification services such as ABN Lookup
- Automatically, through cookies and analytics tools, where you have consented to them
Where we collect your information from someone other than you, we will tell you.
Why we collect and use your information
We collect and use your personal information so that you can engage with our services, programs and events, including to:
- Respond to your enquiry and arrange calls
- Register you as a client, community member or event attendee
- Verify your business eligibility
- Deliver and administer the services you have engaged us for
- Process payments and meet our tax and accounting obligations
- Recommend services from within the BusinessAI range that are relevant to your business
- Improve our websites and services through analytics
- Send communications relevant to your business needs, where you have consented or where you are an existing client
- Meet our legal and regulatory obligations
If we cannot collect this information, we may not be able to deliver the service you have asked for.
Sharing your information
We may share your personal information:
- Within the Sansoni Group, for group reporting, administration and shared business services. We do not share your information with other Sansoni Group companies for their own marketing purposes without your consent.
- With service providers who operate our systems. These fall into the following categories: customer relationship management and marketing automation, website and landing page hosting, payment processing, document and contract management, video conferencing, email and file storage, and analytics. Each is bound by contract to use your information only to provide that service to us, and is required to maintain equivalent security and privacy standards.
- With technology providers used to deliver our services. Where a service involves automated or AI assisted processing, that processing is performed by third party technology providers under contract. We can provide the identity of these providers on request under confidentiality.
- With professional advisers, regulators, courts or law enforcement, where we are required or permitted by law.
- With a buyer, if we sell or restructure the business, subject to that party agreeing to handle your information consistently with this policy.
We do not sell your personal information. We do not share it with third parties for their own marketing purposes.
Overseas disclosure
Some of our technology providers and service delivery partners are located outside Australia. Where your personal information is transferred outside Australia, we take reasonable steps to ensure that the recipient either is subject to at least equivalent data protection laws, or is contractually required to handle your information consistently with the Australian Privacy Principles.

Cookies and tracking
Our websites use cookies and similar technologies.
- Essential cookies make the site work. These are always active and cannot be turned off.
- Analytics cookies tell us how our sites are used so we can improve them.
- Marketing cookies allow us to measure advertising performance and show you relevant content.
Analytics and marketing cookies are only set after you consent to them. You can accept or decline these when you first visit, and you can change your choice at any time using the "Cookie settings" link in the footer of any page. You can also block or delete cookies through your browser settings, though blocking essential cookies may stop parts of the site working.
Direct marketing
We may send you updates, offers and insights we believe are useful to your business. Every marketing message includes an unsubscribe link. You can opt out at any time using that link or by contacting us, and we will action your request within five business days.
Opting out of marketing does not stop operational messages about a service you are currently receiving from us. We keep a record of unsubscribe requests indefinitely so that we do not contact you again in error.
Access and correction
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is inaccurate or out of date. Contact us using the details below. We will respond within 30 days and there is no charge for making a request.
In limited cases we may refuse access, for example where providing it would breach another person's privacy or where we are legally prevented from doing so. If we refuse, we will tell you why in writing.
How long we keep your information
We keep your personal information for as long as we need it for the purpose it was collected, and then for as long as we are legally required to. Financial and contractual records are kept for seven years. Marketing contact records are kept until you unsubscribe or ask us to delete them.
Security
We take measures to store your personal information securely and protect it from unauthorised access, including encryption in transit, access controls, multi factor authentication on business systems, staff training and policies, and secure third party systems. Access is limited to team members who need it to do their job.
No system is completely secure, so we cannot guarantee absolute security. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
Complaints
If you have concerns about your privacy or how your personal information has been handled, contact us at hello@businessai.com.au with the detail. We will acknowledge your complaint within five business days and respond within 30 days.
If your concern is not resolved to your satisfaction, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Updates to this policy
This policy may be updated from time to time. The current version is always available at businessai.com.au/privacy and the effective date appears at the top of this page. Where we make a change that materially affects how we handle your information, we will tell you by email or on our website.
